Data Collection Best Practice: The Basics
As you may be seeing, Data Collection is a key part of the changes made to GPDR (Global Data Protection Regulation) in May. Therefore, we wanted to provide our members some suggestions* on Data Collection and some top tips.
Data collection, how it‘s done, and whether the data subject has given informed consent to it needs careful consideration. As most coaching businesses and organisations deal with personal data so here are the most important things to bear in mind with Data Collection.
 
Data Collection Tips
Work out what you want to do with the data
Data collection must be for a particular purpose, and you have to be able to demonstrate that all personal information collected was for that purpose. In general, it is best to limit the amount of pieces of personal data that you collect to that which is strictly necessary.
Communicate your intentions during the Data Collection process
Be up-front about what your organisation plans to do with the data. That way, people are fully aware of how their information will be utilised. Failure to inform participants will result in your organisation being in breach of the Data Protection Acts. You should also communicate how you intend to store, encrypt and eventually dispose of your participants information.
Passing information on to third parties
If you intend on passing personal information to third parties you need to tell the owners of that information, and give them the option to withdraw their consent.
Always seek permission to use data in different ways
It may be tempting to use information on a database in new and creative ways. However, the current legislation prohibits this. If you develop a new project and want to use the information collected, you need to contact the owners of that information and seek separate consent.
Treat all information as sensitive
All information held on third-party individuals is sensitive information. You can never know how important that information is to that individual. Personal information should always be securely held with a records management plan.
Allow For Opt-Out
Always include an opt-out mechanism in printed mail outs, emails and text messages.
